Managing the alerts for a contract |
1. Go to Settings -> Contract Management
2. In the grid, click on the Agreement Name/Number you'd like to modify the alerts for.
3. Click on alerts (or scroll down):
For all contracts, you can add two alerts: Alert 1 and Alert 2.
To activate and administer an alert, you'll need to click on the tick to activate it:
Managing alerts is done with the following steps:
1.Settings
The 'delay in days' value is to determinate the day at which you will receive an alert.
The Trigger date is calculated by using these parameters: [Notice end date - Delay in days]. IF there is not no notice date, the equation becomes [Contract Expiration date - Delay in days]. The Delay in days value must always be above 1.
This means that for a Notice date on the 30th of December 2025 with a 20 day 'Delay in days', the trigger date is on the 10th of December 2025.
2. Broadcast Channels
Three different broadcast channels are available to notify you:
A) Email
Once you've selected email in the 3 choices, the 'Language for sending email' field is unlocked so that you can choose from the dropdown list:
The day of the Alert, an email is sent to all the parties filled in 'Recipients' and 'Additional recipients':
B) Notification Center:
The day of the Alert, a message is sent to all recipients (see above) in their notification center for the root:
C) Mytem360 popup
Click on the option in the 'Broadcast channels':
The day of the alert a popup will appear when the users connect to Mytem with a message ressembling the following:
If the user is in the list for multiple contracts, the arrows on the side will give them the ability to navigate between the different notifications.
If the user wishes to get rid of the notification for the next time they login, they can click on the 'Do not show anymore' option:
3. Contacts
The alerts can be sent to different types of contacts:
Customer contact: activate the tick on the side to have the Alert sent to the specified contact:
CSM Contact : activate the tick on the side to have the Alert sent to the specified contact:
To modify the CSM and Client contact, go to Settings>Account administration>Customization:
4. Additional recipients
- You can add additional recipients via the field at the bottom of the form. They can be Mytem users or not.
- If they are Mytem users, click on the 'List of mytem360 users' button underneath and select the ones you'd like to add to the notification list.
In the field, any users that have Mytem logins will appear in the colours of the client and any others in grey:
Concerning the notifications:
- The email alerts will be sent to all parties (whether or not they are Mytem360 users).
- The notification center and popup alerts will only be available to Mytem360 users.
