Audit by profile |
Audit by profile is one of the four types of audits offered in mytem. This appraoch allows us to attach a profile to one product/service, whose price may differ based on user types (VIP or standard users), geographical locations (northern states vs. southern states in the US), or business size (small, medium, or large offices). The attribute can be anything that is relevant to your analysis.
To perform the audit by profile, users need to think ahead about the profiles that they need.
Go to Settings/account administration/manage your profiles/provider product profiles/add a profile.
Part 1 - Set up your profiles
Settings/account administration.
Manage your profiles.
Provider product profiles.
Add a profile.
In add a profile:
Enter the profile name. In this example, we are making different contract prices for east cost vs. east coast clients using exactly the same product/service from the provider.
Field 1 in the image should be your profile name. Field 2 the provider.
Field 3. As a rule of thumb, most profiles are based on partial matching.
a. only lines/service IDs with just this one exact product (strict matching) or
b. lines/service IDs that have this one product, along with others (partial matching).
Example:
Service ID 852547892 has only the service EXTENDED CONF.SVCS-TELEPHONY AUDIO. This would be strict matching. If the service ID had EXTENDED CONF.SVCS-TELEPHONY AUDIO and Cisco Hosted Collaboration Solution UC Services Connection, and state taxes, that would be partial matching.
Click Next. The icon Add a price is where you enter the contract price for the profile east coast, for which months of the year.
Mytem will save these data as:
Repeat the same steps to create a second profile, such as the west coast profile.
You will see those profiles in the Manage profiles section when you have finished entering the contract prices.
Part 2 - Audit the service/product
Go to Settings/Provider Product Management
Look for the service that you would like to audit.
Right-click. Choose Associate a product profile.
Tick both east coast and west coast profiles.
You will see that the service is now asociated to the profiles.
24 hours after your setup, you have to go to billing/invoice/dispute module. Click on the profile tab.
Mytem will show you the service IDs that deviate from the contract price that you have entered for ast coast, and also for the west coast profile.
At the very last column, all the items have the detected status (variation detected).
To open a dispute, right click on any empty space on the row holding the item, or scroll all the way to the right and click on the three dots.
Tick the box "would you like to receive an email summarizing the disputes(s)?"
After sending the mail, the dispute status will be "opened". Once resolved, you can close it by clicking "close dispute".
