Closed sites audit |
This function allows you to consult the list of sites closed AND associated with lines billed beyond the month of accounting closure.
Mytem360's billing module features a closed site audit function. The tool aims to take full advantage of the supplier's integrated billing data, and use it to automate the site audit process. This makes it possible to quickly see whether a billed line is assigned to a closed site.
- This type of control applies to instances with the IT inventory management module
- User must be subscribed to the management group displaying the line/site association.
- The user must be subscribed to an invoice workflow profile with the "Validate site control" action.
Checking whether one or more invoiced lines are assigned to a closed site can be done from two tiles:
Invoice list tile
The "Lines on closed site" field in the site section of the field library has been added for this release.
We can see that for this invoice, a line is assigned to a closed site.
A hyperlink allows direct access to the "Closed sites control" tile from the value of the "Lines on closed site" field, if this is greater than 0.
You can also access the "Closed sites control" tile by clicking on the icon at the end of the line and then on "Control sites".
These two actions are only available if the following prerequisites are met:
- The number of invoice lines associated with a closed site is greater than 0
- The user is subscribed to an invoice workflow profile with the "Validate site control" action
"Control closed sites" tile
This tile displays a table showing the list of lines assigned to one or more closed sites for a given billing period.
The table contains the following columns:
Site
Site address
Technical closure date
Accounting closure period
Provider
Billing account
Invoice number
Invoice issue date
Line
Amount (provider currency)
For a given line, this table lets you dissociate a billed line from a closed site, or replace the closed site with an open site.
These actions will not be available if the user has not subscribed to the management group displaying the line/site association.
To do this, click on the icon at the end of the line.
The menu below appears:
As a reminder, the administration of physical sites is carried out from the Account Management / Physical Sites tile.
